Instructions for Oral Presentations
Technical Specifications
Ratio: The aspect ratio of your presentation should be 16:9.
Filename: The name of the presentation file should include the presenter’s name and the presentation title. To avoid any compatibility problems, please do not use special characters (e.g. «, Ö, Ø, ñ, ε, ®, ý, }, { etc.) to name the file of your presentation.
Format: Presentation files will be accepted in Microsoft Office PowerPoint format only. Please let us know if you wish to use a Macintosh for your presentation. You will be required to bring your own along with a connector.
Saving files: The presentation has to be saved on a USB flash drive or an external hard disk. Please note there is no facility to use your own computer for delivering a presentation (unless you are using a Mac, as noted above).
Presenter mode will not be available during your presentation. Please print your notes in advance if you need them.
Please note that macros should not be used, and flash-animations and Prezi Presentations may not supported. Please speak with the AV tech in advance of your talk.
If you wish to add video to your Power Point presentation, please make sure to check it in the session hall during a coffee or lunch break prior to your session, at least 1 hour before the start of the session.
Note: It is the presenter’s responsibility to follow all copyright and fair use guidelines.
Presentation Slides Upload During the Conference
As presenters, you are requested to give a copy of your presentation file to the AV tech in the room at least 2 hours before the start of your session.
Please bring your presentation file on a memory USB drive.
Oral presenters in morning sessions are strongly advised to pre-load their presentation the day before. For Monday AM speakers, please arrive to the room as early as you can.
Kindly note that you can upload your presentations at any time from the beginning of the conference and do not need to wait until the day of your presentation
Onsite Process
In the interest of efficiency, all oral presenters are requested to take a seat close to the front of the room in order to get quickly to the stage when called. The session will start with a short introduction delivered by the session Chair who will also give the floor to each of the presenters, following their order as indicated in the program.
The presentation time is 20 minutes for each oral presenter which includes the time for Q&A. Organizers ask that you be respectful of your time limit.
The Chair will also monitor the timing and has the right to interrupt the presentation if the oral presenter has extended their allocated time.
The chair will close the session at the indicated program time
